How to cut RFQ response time without hiring another dispatcher

Hiring another dispatcher is the default answer to slow RFQs. Often the cheaper lever is collapsing wait states: unread mail, manual TMS lookups, and forgotten open requests.

Measure the real delay

Track hours from inbound RFQ to first client-visible reply. If the median spikes after 18:00, you do not have a staffing problem alone — you have an after-hours coverage problem.

Remove the blank page

Morning backlog shrinks when overnight RFQs already have drafts. Operators spend minutes editing instead of starting from zero.

Surface forgotten deals

Open unquoted TMS requests are silent revenue leaks. A single Telegram nudge when a request ages past your threshold beats heroic inbox archaeology.
